3Chairs Therapy Cancellation Policy

Clients are informed of this policy at the time of booking and acknowledge the need to pay a cancellation fee when signing their Client Agreement and Therapy Services Contract.

Overview/Introduction

The aim of this policy is:

  1. To reduce the level of late cancellations, late rescheduled and missed appointments;
  2. To reduce disruptions to the therapists’ diaries and loss of therapists’ time in preparation because of client late cancellations, late rescheduled and missed appointments;
  3. Make sure that other clients do not miss out on the opportunity to access therapy.
Therapy should be viewed as any other important medical appointment would be viewed. While it is a time commitment, this is for your personal betterment and consistency is key in order to achieve this.

Since your appointments involve the reservation of time specifically for you, and out of respect for your therapist and our other clients, a minimum of least forty-eight (48) business hours’ notice is required for rescheduling or cancelling an appointment.

You should note that calling is the most effective way to ensure we receive appropriate notice. You are welcome to leave a message outside of business hours if it is before the cancellation deadline. Please do not call after 5.00pm on a Friday and leave a message to cancel an appointment scheduled for the Monday as you may incur the cancellation fee.

Cancellation fees will be calculated at 25% of the session fee for appointments cancelled within least forty-eight (48) business hours or no-show appointments.

A fee of 25% of the session cost will be charged when you miss or cancel an appointment without giving at least forty-eight (48) business hours advanced notice, except when the fee is waived by 3Chairs as described below. This means that if an appointment is scheduled for 3:00pm on a Tuesday, notice must be given by 3:00pm on the previous Friday at the absolute latest. Note that if your appointment is on a Monday, the cancellation needs to be provided no later than the prior Thursday, by your appointment time, to be considered proper forty-eight (48) hour notice. The only exception to this cancellation policy is in the event of a sudden illness or crisis. Some examples of crises are car accidents, deaths in the family, or extreme illness. Work issues do not constitute emergencies. This cancellation policy also applies even if missing the appointment was an unintentional act. In the event you are no longer able to travel to your in-person session, we can conduct the session on the phone or via video call.

Although 3Chairs Therapy may send you text or email reminders about upcoming appointments, this is done as a courtesy and only if you consent to receive such communications by providing us with your email address and mobile number. It remains your sole responsibility to keep track of and timely attend all scheduled therapy appointments, whether or not you receive the text or email reminder. It is your responsibility to inform the office if your phone number or email has changed. After two (2) consecutive cancellations or no shows, you will not be able to schedule another appointment and will be referred to another provider.

No-Show Fees: you fail to attend a scheduled appointment without giving appropriate prior notice of cancellation, you will be charged 25% of the session cost for the no show session.

Late Cancellation Fees: Any session that is missed by cancelling less than forty-eight (48) hours in advance will be charged 25% of the session cost.

Your wait time is kept to a minimum. Due to the length of time provided for each appointment, it is critical that you arrive on time for your appointments. If you are late to your appointment, the session will still conclude at the scheduled end time which means being late will result in less session time for your appointment. You will still be required to pay the full fee for the session.

Cancellation fees will be charged via invoice. Outstanding accounts (maximum terms = seven (7) days) will be referred for debt collection and will incur an 18% + GST debt collection fee.

Please note: no future appointments can be booked if you have an outstanding account.
